On-Demand Service

On-demand service is the most basic form of equipment support. When a machine breaks down or begins experiencing problems, the equipment owner contacts the service company to schedule a repair.

However, because service is reactive rather than planned, parts may need to be ordered after the technician diagnoses the problem. This can result in delays and additional downtime.

Maintenance-Based Support

A retainer is generally a deposit placed on the customer’s account that can be applied toward future labor, maintenance, or parts. When a service provider knows that a customer intends to continue using its services, it may be able to stock commonly required parts for that customer’s equipment and prepare in advance for upcoming maintenance or repairs.

This approach can be particularly valuable for:

  • Businesses where equipment downtime can result in significant revenue loss
  • Equipment requiring specialized or less commonly stocked parts

Why Many Service Companies Avoid Generic Maintenance Contracts

Traditional maintenance contracts can sound appealing, but commercial espresso equipment varies significantly from one business to another.

Machine age, water quality, beverage volume, operator practices, equipment type, and operating environment can all affect maintenance requirements. As a result, a single “one-size-fits-all” agreement may not accurately reflect the needs of either the equipment owner or the service provider.

Instead, many experienced service companies prefer to evaluate each customer individually and develop recommendations based on factors such as:

  • Daily beverage volume
  • Existing maintenance and repair history
  • Water quality and filtration
  • Parts availability

  • Operational priorities
